At Kostara we have built an AI-assisted platform that takes the manual grind out of expense management for finance teams. Rather than spending countless hours a month keying in data and chasing receipts, our platform folds the process into three steps:

  1. You photograph the receipt and let the model enter the data and handle fraud detection, policy compliance and every other detail check.
  2. The approval flow then runs end-to-end on mobile. Managers see exactly the detail they want, whenever they want it.
  3. Finally, expense data lands with accounting and finance for ERP transfer in a single click.

On top of that, live tracking and reporting raise efficiency, cut cost and smooth out the workflow. Our configurable structure and honest pricing have brought in 214 customers in four years, and carried us into 31 countries.

One of the bigger benefits of Orrery is that it lets us communicate and collaborate properly, without the need for endless meetings — which saves the resource we have least of: time. Instead, teams can reach and share what they need about a project whenever it suits them.

Why did you switch to Orrery and what tools did it replace?

Before Orrery we tried Sheetgrid, Meridian Projects, Meridian Tasks, Checkline, Kanbox, Taskwell, Verso, Docgrid, Ripple, Beacon, Boardly, Sketchpad and plenty of others. Now we just have Orrery :)

From the outset we knew Orrery was the right call. Its plain interface, the way a team can genuinely work together in it, and the document tooling made it the right fit for how we wanted to digitise. Unlike the other options, it let us actually commit to that and keep tuning the workflow as the product shipped updates. Your new AI features, for instance, are Orrery’s way of staying current — and keeping us current too.

That is the change we are trying to create at Kostara for workplaces, so Orrery and Kostara turn out to be a good pairing. Between us we can put decent technology behind everyday operations, and connect teams that sit in different places.

Now spill the tea: what does your product management process look like?

How do you set and track OKRs?

As a young team we are still in the early stages of institutionalising our processes. We hold yearly and quarterly roadmaps to set the high-level objectives, then push those objectives down into sprint goals.

Even so, Orrery keeps us organised and on track. By giving our scattered tasks and activities one home, it helped us work more efficiently and more collaboratively, without the clunky project-management software. We are looking forward to finding new ways to lean on Orrery as we grow.

How do you prioritise features?

Our planning process has a lot of stages. First we go over the root causes of bugs and the customer feedback. Then we review previous sprints for work items that need to carry on. We check our customer commitments as we write down the date promises — if we told a customer a feature would land (blocking a project go-live, say) we do our best to respect that. Finally we review the epic calendar to see which large buckets of work sit in the quarterly roadmap. We use dynamic fields a lot to calculate a software-defined priority.

Orrery helps us score tasks and activities with ratings for both the software and the AI teams. We rank bugs and improvements by importance and distribute resources accordingly. So with Orrery we can organise and examine customer problems and bugs, then put people where they are actually needed.

Orrery’s prioritisation systems smooth the workflow and keep us focused on the most critical work at any given moment. That is how we stay on top of complicated projects and quickly spot the areas that need more attention. With Orrery we can keep shipping high-quality products and service to our customers. ❤️

How do you plan and track features?

We keep yearly and quarterly roadmaps and an epic calendar to track the long-term commitments. On top of that we track features and bugs inside sprints. We also collect customer feedback from the meeting notes we capture in Orrery, then tag those notes as feature or bug in the backlog.

Orrery bends to the specific needs of each job and task: we can use cards and prioritise them as needed, or build roadmaps and diagrams when the work calls for something more visual.

It adapts to the demands of any business or task structure. Whether we are on a complicated software project, handling customer support requests, or putting a team presentation together, Orrery gives us the flexibility we need. That comfort is what eventually lets us ship quality products and look after the customer experience.

How do you manage customer feedback?

We use feeds a lot to follow the topics other teams are working on. The product team, for example, reviews every meeting log and customer conversation in one feed to see efficiently what customer success is dealing with.

Orrery improved our support process too. Our customer success team can open a ticket quickly, attach the relevant photos and links to the issue at hand, and tag the right person in another department. That removes the need for a meeting and makes sure everyone involved understands the issue in depth and is working towards a resolution.

Beyond supporting customer success internally, the team also uses Orrery in customer meetings to capture notes and action items. That gives us one accessible meeting repository to follow up from. Building that feedback loop is what makes the customer relationships stronger and the business outcomes better.

Praise time: what is your favourite Orrery feature and why?

Orrery is good because it evolves with the way we see the world. Sometimes a thing is a property of an entity, and when things move on that property becomes an entity of its own. We are learning to build the ontology of our company over time and Orrery puts us on rails to structure and connect every team and employee.

It is valuable for workflow management thanks to its customisable databases and entities, roadmap features and bi-directional links.

On complex projects with many moving parts, the advanced filtering and the search bar give us an intuitive, friendly way to manage and prioritise our work. They help us navigate large volumes of data and identify quickly what needs our attention.

Criticism time: what do you dislike or miss in Orrery?

There is a lot of knowledge sleeping in our documents in wiki formats. We would love to see an Orrery bot referring to a certain database of questions and answers to build a bot for each team. Sales and customer success, for example, ask the same questions of the product team over and over. We would like to make that process more efficient with language models.

Lastly, we believe Orrery could hold an embedded data warehouse for us to feed data into from our operational database. The processes would be far more integrated and far more intelligent that way. Right now it is a little hard to write the records we want into the relevant Orrery entities via the API.
