Create billing schedules

Billing schedules generate customer invoices automatically from an attached plan’s pricing.

Halcyon simplifies contract-led billing for teams with pricing complexity such as usage bands and ramped commitments.

Create a schedule from a customer’s Billing tab, select a plan, and choose the relevant dates. The schedule calculates charges and prepares invoices as each period closes.

A billing schedule moves through three states:

Pending: The schedule has not reached its first date.Active: The schedule is producing invoices.Completed: The final billing period has closed.

Billing periods

Set the date billing begins for a customer and the date of the final period. Schedules can start immediately or on a future date.

Billing frequency controls how often invoices are generated. Flexible period boundaries support monthly, annual, weekly, or contract-specific cycles.

Automated invoicing

Choose whether invoices are issued automatically when a period closes. Automatic invoicing creates a new invoice and sends it to the customer using the saved notification settings.

Proration

Halcyon calculates charges for partial periods when a schedule begins after the normal boundary. The amount reflects the active days in the first cycle.

Example calculation

  • Schedule begins on the 14th day of a 31-day month.
  • The first period contains 18 active days.
  • Invoice total equals the plan value multiplied by 18 ÷ 31.

Backdated billing schedules

Backdate a schedule to replay closed periods for a customer. The first invoice is calculated from the historical start date through the current boundary.

Recurring discounts

Attach percentage or fixed discounts to a schedule. A discount may apply to the entire invoice or to selected line items, and can expire after a set number of periods.

When a discount ends mid-period, Halcyon calculates the eligible days and applies the remaining portion at full price.

For a yearly schedule with monthly billing and a 12% discount through September, the periods resolve as follows:

01/08–31/08 plan £520 − discount £62.40 = £457.60
01/09–30/09 plan £520 − discount £62.40 = £457.60
01/10–31/10 plan £520 − discount £0.00 = £520.00
prorated discount = discount value × eligible days ÷ total days in period
